Job Overview
We are seeking a proactive and detail-oriented IT Support Assistant to join our team. The ideal candidate will provide technical support to our staff, ensure smooth day-to-day operations, manage IT procurement, and recommend improvements to enhance our use of technology. You will be the first point of contact to support IT-related inquiries, maintain our IT infrastructure, improve workflows, resolve technical issues and ensure our team works online efficiently and securely.
Responsibilities
- Provide technical assistance and support to remote and in-office staff members on hardware, software, network, and systems issues.
- Set up and configure new devices (laptops, phones, tablets) for staff members.
- Ensure data security and privacy by managing user accounts, permissions, and access controls.
- Maintain and update IT systems, including hardware, software, and cloud-based tools.
- Optimize the use of Google Workspace tools to improve collaboration and productivity.
- Create and manage shared drives, calendars, and email groups for teams and projects.
- Manage all IT procurement processes, including purchasing hardware, software, and peripherals. This involves processing Purchase Requests (PRs), obtaining competitive quotations, documenting vendor selection and purchase orders, tracking delivery timelines, and ensuring received items meet quality standards.
- Maintain an up-to-date inventory of IT assets and manage their lifecycle (e.g., repairs, replacements, and disposal).
- Implement and report on SMEX cybersecurity protocols within the organization.
- Write and update IT security procedures for staff members to follow, ensuring clarity and accessibility.
- Assist in monitoring systems for vulnerabilities and ensuring compliance with SMEX cybersecurity practices.
- Implement tools like multi-factor authentication (MFA), antivirus software, firewalls, and password management tools.
- Onboard new staff by setting up their IT accounts, devices, and access permissions, ensuring a smooth transition into the organization.
- Conduct regular training sessions on cybersecurity protocols, data protection best practices, and the secure use of IT tools and systems.
- Assess current technology use and recommend tools, software, or workflows to enhance productivity, collaboration, and security.
- Stay updated on emerging technologies and propose innovative solutions aligned with SMEX’s mission.
- Monitor system performance and ensure reliable access to digital resources.
Qualifications
- Bachelor’s degree in Computer Science, Information Systems / Science or closely related fields.
- Proven experience in an IT support or IT helpdesk role.
- Knowledge in computer maintenance, server administration, installation, repair and troubleshooting.
- Proficiency in Google Workspace, ManageEngine, Web development
- Strong knowledge of operating systems (Windows, macOS, Linux) and common software applications.
- Basic understanding of networking principles, including TCP/IP, DNS, DHCP, and VPN.
- Experience in IT procurement, vendor management, and asset tracking.
- Familiarity with cybersecurity principles and best practices.
- Familiarity with hardware components, including computers, printers, and peripherals.
- Ability to explain technical concepts to non-technical users.
- Familiarity with SMEX’s core work and a shared commitment to human rights values, including privacy, users’ rights, digital surveillance, data protection, freedom of expression, accessibility, and open culture.
