Job Overview
As a Finance Assistant, you will play a crucial role in supporting the finance unit of the organisation by handling various financial tasks ensuring accuracy, transparency, and compliance with SMEX’s internal policies and the donor’s requirements. This role will support in maintaining accurate financial records, assisting in budgeting and reporting, helping with the payroll, payments processing, and support with the audit requirements. The finance assistant will work closely with the Finance Unit and the Operations Unit ensuring the effective use of the financial resources and support the mission of SMEX.
Responsibilities
- Assist the finance unit in maintaining accurate financial records and keeping complete and accurate documentation.
- Support in processing payments including salaries, service providers charges, staff reimbursements, Social security contributions, taxes, and other payments.
- Reconcile bank statements with internal statements to ensure the accuracy of financial records and keeping complete and accurate documentation of the reconciliation.
- Reconcile cash reports with the accounting system reports to ensure the accuracy of cash payments and keeping complete and accurate documentation of the reconciliation.
- Assist in comparing the budgets with actual figures on a weekly and monthly basis.
- Assist in preparing the financial documentation needed for regular financial and audit reports, including monthly, quarterly and annual reports, as required by the organisation and the donor.
- Updating the deferred income report and reconciling the deferred income accounting statements with the internal reports.
- Ensuring the compliance with the internal policies, donor’s requirements, and the accounting and finance standards.
- Communicate effectively with service providers, team members, and subgrantees regarding financial matters.
- Address and resolve financial queries from internal and external stakeholders.
Qualifications
- Bachelor’s degree in Finance, Accounting, or a related field.
- Minimum two years of experience as a Finance Assistant working in the nonprofit sector or related field.
- Professional certification (e.g., CPA, CMA) preferred.
- Proven experience in financial management, budgeting, and grant proposal preparation.
- Familiarity with SMEX’s core work and a shared commitment to human rights values, including privacy, users’ rights, digital surveillance, data protection, freedom of expression, accessibility, and open culture.
- The ability to work in a fast-paced environment
- Effective communication skills.
- Highly organized and detail-oriented
- Proficient in Google Drive and experience in accounting software tools (e.g., QuickBooks, Excel)
